Custom invite, dashboard, and email flow for a 2,000-guest trade show

Roles

Invite site
RSVP flow
Marketing dashboard
Branded email system

For the same show, ELA + Synergy needed to invite 2,000 guests from across the lighting and design community and wanted something better than a stock event page. We built a custom invite and RSVP site that carried the installation's visual language, birds included, so the experience started before anyone walked in.

Behind it sits a dashboard for the marketing team. They could upload contacts, send the invitation blast, track responses, and follow up with branded emails to anyone who hadn't replied.

The form connects to Hi.Events through its API. Each guest who signed up got a personalized email with their name, ticket, and calendar reminder, and the team used Hi.Events' check-in system at the door.

Outcome

2,000 invitations sent, roughly 50% confirmed — well above typical response rates for mass event email. ELA + Synergy owned the whole flow instead of renting someone else's platform.
